1. Overview

The Benefits Administration guide outlines all IDF‑provided benefits, including insurance, retirement plans, paid time off, and professional development programs. Benefits vary depending on employment classification and eligibility, and all benefits are subject to applicable plan documents and state/federal laws.

Employees may make benefit elections:

  • Within 30 days of hire
  • During Annual Open Enrollment
  • After a qualifying life event (marriage, birth, etc.)

2. Group Insurance

Full‑time employees are eligible for IDF’s group insurance offerings, which include:

  • Medical insurance
  • Dental insurance
  • Vision insurance
  • Life insurance
  • Short‑term disability
  • Long‑term disability

Eligibility and plan details are determined by the carrier’s plan documents.


3. SIMPLE IRA (Employee‑Defined, Tax‑Sheltered Retirement Plan)

Full‑time employees may participate in IDF’s SIMPLE IRA retirement plan.

Key Features

  • Employee contributions allowed up to the federal annual limit
  • Minimum employee contribution: $25/month
  • IDF matches up to 4% of employee pay (not exceeding IRS limits)
  • Payroll deductions are used for contributions

4. Colorado Secure Savings Program

IDF is exempt from the program due to offering its own employer‑sponsored retirement plan.

Employees not eligible for the SIMPLE IRA may voluntarily enroll individually in Colorado Secure Savings.


5. Vacation & Personal Leave

5.1 Vacation Leave

Vacation begins accruing on the first day of employment.

  • At year‑end, up to 10 days (80 hours) may be carried over; excess is paid out.
  • Unused vacation is paid out at separation.

5.2 Personal Days

Each employee receives:

  • Two (2) personal days annually on January 1
  • Must be taken in 8‑hour increments
  • No carryover
  • Paid out at separation

6. Paid Sick and Safe Leave

Accrual

  • Full‑time employees: Up to 10 days/year
  • Part‑time employees: 1 hour for every 30 hours worked

When Sick Leave May Be Used

For the employee or a family member experiencing:

  • Illness, injury, or health condition
  • Medical appointments, diagnosis, or treatment
  • Preventive medical care
  • Bereavement or post‑death legal/financial tasks
  • Domestic violence, sexual assault, or criminal harassment impacts
  • School or workplace closure due to public health emergencies
  • Evacuation of home due to emergencies (e.g., power loss, severe weather)

Administration

  • May be used in 1‑hour increments
  • Employees must notify supervisors daily by 8:00 AM
  • Certification may be required for absences of 4+ consecutive days
  • Sick leave carries over up to 80 hours
  • Unused sick leave is not paid out upon separation

Retaliation for using or requesting sick leave is prohibited.


7. Volunteer Hours

Each January 1, employees receive:

  • 24 hours of paid volunteer time per year
  • May be used in partial or full‑day increments
  • Must receive supervisor approval
  • Documentation from the volunteer organization is required
  • No carryover
  • Not paid out upon separation

8. Holidays

IDF observes the following paid federal holidays:

Holiday Rules

  • Observed on the nearest weekday if falling on a weekend
  • Full‑time employees receive 8 hours of holiday pay
  • Employees working 20 hours or fewer/week are not holiday‑pay eligible
  • Non‑exempt employees working on a holiday receive:
    • Holiday pay plus straight‑time wages for hours worked

9. Professional Development

IDF supports training and development opportunities.

Eligibility Requirements

  • Supervisor approval required
  • Funding subject to budget availability
  • May include registration fees, travel, lodging, and meals
  • Employees must submit estimated costs for approval

10. Employee Referral Program

IDF encourages referrals and offers a $100 referral bonus when:

  • The referred candidate is hired
  • The new employee completes 6 months of continuous employment
  • The referring employee remains actively employed at payout time

Referral bonuses are taxable and paid on the next available payroll cycle after eligibility.
