How to create a signature in Outlook

The purpose of this article is to walk users through the steps of generating a signature. Its critical to use this process to ensure compliance, professionalism and avoid issues of the signature causing issues with our Spam/Phishing filters outbound.

NEW Generating a Signature using the in house app


  1. Navigate to the "IDF Signature Generator" HERE or visit the Impact Connect site under Other Resources > Resources

  2. Fill out the information as needed (IMPORTANT: Fields not marked with "Optional" are required)


  3. Once you have filled out the information required as well as any optional information, click "Generate Link To Signature"


  4. After a few seconds you will get a pop-up notifying you that your signature is available to view/copy. Click "View Signature" to view the signature:

    IMPORTANT: If your signature fails to generate, or if you need to generate a different one, please wait 1 minute and the "Generate Link to Signature" button will become available again.

  5. After clicking "View Signature" a new window should open with the signature. Copy this and proceed to step 6:



  6. Add your copied signature to your Mailing App (Outlook Desktop [New/Classic], Outlook on the Web, etc.) by following Microsoft's Guide HERE

  7. DONE!
